  • Listen. Feedback is a two-way process; when it becomes a one-way process, it breeds feelings of resentment that can damage relationships and will often be rejected. Ask the receiver to explain how they remember a specific incident and how they feel about the feedback. Listen, not only for information but also for emotion, as this will help you avoid the receiver becoming defensive
  • Check understanding. Ask the receiver if they have understood your feedback. Confirm this by asking them to summarise the feedback in their own words as this gives you both a clear and joint understanding of how you hope they will change their behaviour
  • Agree the next steps. As part of the feedback process – especially with people who report to you – you should agree how they will change their behaviour to meet your expectations. This might require some coaching or discussion as to how they will be able to change effectively (such as through specific training). Occasionally, it might be best to allow both of you to reflect on the discussion, but as a minimum you should agree when you will review the situation again.
